Where are Remodelers Saving Quotes from Vendors?

When we get a PDF Quote back from a Vendor where are you saving it within a Project? We would only like our Admin Team to have access to it.

Houzz currently don’t have the proper structure for subcontractors yet. What I’m going to do is create a purchase order changing the name to Subcontract based on the bid request or their quote depending on which is sent. That way when I receive an invoice from them I can add a payment to the Subcontract so It tracks balances. I can upload their quote and invoices to the subcontract files. This will also show up on their portal.

We see this issue often when working with remodelers who handle multiple vendor quotes per project.

A clean workflow we’ve seen work well is:

• Create a dedicated “Vendor Quotes” folder inside each project
• Upload the original PDF without editing it
• Add a note in Houzz Pro with lead time, expiration date and revision number
• Restrict access to management only

Some remodelers also convert approved vendor quotes into purchase orders internally, keeping the original PDF attached for accounting traceability.

The key is version control. Quotes change frequently — especially with material pricing fluctuations — so labeling them by date and supplier helps avoid costly mistakes.
